Syrve's AI Invoice Scanner: A Faster Way to Process Supplier Invoices

Written by Alex Ponomarev | 03 Nov 2026

A stack of supplier invoices can quickly become another job on a restaurant team's to-do list. Every document has to be checked, entered and matched with what was delivered. When several suppliers are involved, that work can take hours that could be spent running the restaurant.

The problem doesn't end with the time involved. If invoice details are entered incorrectly or supplier price changes are missed, inventory records and food cost figures can quickly become less reliable. Yet many restaurants still handle the entire process manually, line by line.

Syrve's AI Invoice Scanner is designed to take some of that work off the team's hands.

Why manual invoice processing becomes a problem

A restaurant may receive invoices for meat, vegetables, dairy, dry goods and other supplies throughout the week. Each one contains product names, quantities, units and prices that someone has to enter into the system.

The work is repetitive, which makes mistakes easy to miss. A wrong quantity or price can affect stock records, while small supplier increases may go unnoticed for longer than they should.

Take a restaurant in Dubai or Cairo that works with several suppliers and receives invoices throughout the week. Staff have to check each document, enter line items and make sure quantities and prices are correct. When that process is repeated across dozens of invoices, it can eat into valuable time and make small pricing or data-entry errors much easier to miss.

Syrve's AI Document Scanner is designed to reduce that manual work.

What is Syrve's AI Document Scanner?

Syrve's AI Document Scanner uses document recognition to extract information from uploaded supplier invoices and convert it into structured data.

It can recognise:

  • Supplier information
  • Product names
  • Units
  • Quantities
  • Prices

The scanner supports PDFs, JPGs, JPEGs and PNGs.

It can also map supplier products to products in Syrve and create supplier price lists from uploaded invoices.

Why use it?

Manual invoice entry takes time, particularly when a restaurant is dealing with a high volume of deliveries or several suppliers. Automating the first part of the process gives teams less data entry to deal with while keeping a review step in place.

It can help restaurants maintain more accurate inventory records, keep a closer eye on supplier pricing and get a clearer view of food costs.

For a restaurant across MENA, for example, invoice prices can be checked against existing supplier price lists. If the cost of an ingredient changes, the difference is easier to spot when reviewing the invoice.

The same process can help a restaurant keep purchasing information organised when invoices contain a large number of products and prices.

How Syrve's AI Document Scanner works

Syrve's AI Document Scanner handles three parts of the invoice process: scanning the invoice, matching the products to your Syrve records and creating a supplier price list.

Here's what the process looks like from start to finish.

1. Scan and process an invoice

a. Upload the invoice

Go to Inventory and open Document Recognition. Select Import, then either drag and drop your invoice into the window or choose Browse Computer to upload it.

The invoice will initially show a Pending status. Once Syrve finishes scanning it, the status changes to Ready to Create.

b. Check the information Syrve has extracted

When the invoice is ready, select Create. The status will change back to Pending while Syrve prepares the document for review.

Once processing is complete, you'll see Manual Review.

Select the Eye icon beside the invoice to open it. In the General Info tab, you'll see the scanned invoice alongside the information Syrve has extracted, such as the:

  • Invoice date
  • Invoice number
  • Supplier
  • Invoice amount

Compare these details with the original invoice. If something isn't right, you can edit it. If the wrong supplier has been selected, choose the correct one from the dropdown or create a new supplier.

Once you've checked everything, select Save. The invoice is stored in Syrve and the inventory information is updated.

2. Match the products to your records

The next step is to check the products listed on the invoice.

Open the Products for Invoicing tab. You'll see the products Syrve has identified, along with their quantities and prices.

Go through the entries and compare them with the original invoice. If a product is marked Not Found, you can select the matching product from the dropdown or create a new product.

If Syrve hasn't picked up a product at all, select Add Product and enter it manually. This can happen when part of an invoice is difficult to read, such as when the document is creased or a product name isn't clear.

If the scan has picked up an entry you don't need, you can remove it using the Trash icon.

3. Create a supplier price list

Once the products and prices have been checked, you can create a supplier price list directly from the invoice.

In the Products for Invoicing tab, review the extracted product and price information, then select Create Price List and Save.

The price list can then be used in your purchasing workflows and purchase orders.

Who can benefit from it?

The more invoices a restaurant receives, the harder manual processing is to keep up with. A small restaurant with a few suppliers may be able to handle the work without much trouble. But as deliveries become more frequent, invoice entry starts taking up staff time that could be spent on other parts of the operation.

The scanner can be particularly useful for:

  • Restaurants working with several suppliers: each supplier brings more invoices, products and pricing information to check and record.
  • Restaurants receiving frequent deliveries: a steady flow of deliveries means a steady flow of invoices, turning data entry into a regular administrative task.
  • Multi-location restaurants: when different branches receive their own invoices, keeping purchasing records consistent across locations becomes more difficult.
  • Restaurants with long invoices: entering dozens of products from a single document takes time, especially when quantities and prices need to be checked against the original.
  • Restaurants that need to keep supplier prices current: new invoice prices can be reviewed against existing price lists, making changes easier to spot and update.

Syrve's AI scanner takes care of much of the initial data entry, while the restaurant team still has the final say. Staff can review the extracted information, correct anything that isn't right and save the invoice once they've checked it.

Take the next step towards easier invoice processing

For restaurant operators across MENA, keeping track of supplier costs becomes harder as the number of deliveries and invoices grows. Manually entering every product, quantity and price takes time and leaves more room for errors.

Syrve's AI Invoice Scanner takes care of the initial data entry, turning supplier invoices into digital records, matching products and creating supplier price lists. Your team can still review and correct the information before it is saved.

If your restaurant is spending too much time processing supplier invoices, it may be time to simplify the process.
